ChatGPT training that turns licenses into daily habits

Your people learn ChatGPT Business or Enterprise on the work they do every week: projects, apps connected to your systems, deep research, plugins and workspace agents.

Many companies rolled out ChatGPT Business or Enterprise and, a few months in, see the same picture: a small group uses it every day, everyone else opens it now and then to polish an email. The licenses renew, the value does not show up.

What is usually missing is not motivation but a reason to open ChatGPT for one's own work. And many courses still teach custom GPTs as the main event, although OpenAI plans to retire them on December 11, 2026.

ChatGPT training for employees: who offers it

What ChatGPT training should cover now

Good ChatGPT training does not show every feature. It shows the ones your teams need every week and settles what must be approved first. All features below are part of Business and Enterprise according to OpenAI (as of October 2026).

FeatureUse at workSettle first
ProjectsOngoing topics like a bid, an audit or a campaign: chats, files and instructions in one place, shared with colleaguesWho may create and share projects
Apps (formerly connectors)Search and use SharePoint, Google Drive, Outlook, Slack or your own MCP appsWhich apps are approved, read only or read and write
Deep researchMarket, competitor and supplier research with sources, including your appsWhich apps it may search
File and data analysisAnalyze Excel and CSV files, build chartsWhich data may be uploaded
Workspace agentsShared agents for recurring work, like the weekly report or lead prep, in ChatGPT or SlackBilled in credits; who may build and share

ChatGPT Business or Enterprise?

For the training itself, the difference is small: the work features are the same. It lies in administration and data handling, according to OpenAI (as of October 2026):

CriterionChatGPT BusinessChatGPT Enterprise
Built for2 to 200 paid seats, self-serveLarger rollouts, through sales
Your data used for trainingNo, by defaultNo, by default
SAML SSOYesYes
SCIM, role-based access controlsNoYes
Analytics dashboardNoYes
Data residency (US, EU, UK and more)NoYes
Compliance API, Enterprise Key ManagementNoYes
Onboarding from OpenAISelf-serveDedicated onboarding

Rule of thumb: Business is enough while you stay under 200 seats and need no roles per department. Enterprise pays off when IT wants automatic user management, data held in a given region, or agents enabled only for certain groups. Neither plan decides whether people use it. That depends on whether each department gets a reason to open ChatGPT, and whether each team has go-to people.

How our ChatGPT training works

  1. Before: we agree which departments take part and which data ChatGPT should see, and set up the apps to file storage, CRM or ERP, through the Model Context Protocol (MCP) where needed.
  2. In the session: participants work on their own tasks. Clear instructions instead of prompt tricks, projects, deep research, data analysis, and your company's data rules.
  3. After: every team leaves with a shortlist of workflows worth automating, and the first ones already run as a plugin or workspace agent. We migrate existing GPTs with you.

From practice: the marketing and growth team at TimeTac, with no engineers, had 10 automations live after an AI enablement workshop and an internal AI platform: 117 runs in three weeks, 54 of them unattended. At Speedinvest we trained team by team and connected Affinity CRM and the fund's ERP; the dealflow inbox automation alone saves an estimated 10 to 20 hours a week.

If the tool decision is still open, see the comparison of ChatGPT, Copilot, Claude and Gemini. Microsoft Copilot fits when the day happens in Outlook, Teams and Excel; Claude is strong with long documents and writing; Gemini suits Google Workspace companies. Engineering teams get a separate format on Claude Code and Codex.

For teams in the EU, Article 4 of the AI Act has applied since February 2, 2025; as amended by Regulation (EU) 2026/1744, companies must take measures to support AI literacy. ChatGPT training can be one of them; see AI literacy training (not legal advice).

What you get

  • Your workspace, your data rules

We train inside your ChatGPT workspace, with your accounts, the apps you have approved, and your rules on which data goes in and which does not.

  • Plugins and agents, not custom GPTs

OpenAI plans to retire custom GPTs on December 11, 2026. We train on plugins and workspace agents from day one and migrate your existing GPTs with your team.

  • Connected to your systems

With apps and MCP, ChatGPT reads from SharePoint, Google Drive, your CRM or ERP, instead of people pasting content into a chat.

  • An honest comparison

We tell you where ChatGPT is strong and where another approved tool, Copilot, Claude or Gemini, fits better.

  • OpenAI for engineers

Engineering teams get their own format on Codex and agentic coding.

FAQ

Common questions

What should ChatGPT training for a company cover now that custom GPTs are being retired?

It should cover the features teams use every week: projects for ongoing topics, apps (formerly connectors) to company systems such as SharePoint or Google Drive, deep research for sourced research, data analysis for spreadsheets, and plugins and workspace agents for recurring workflows. Custom GPTs should no longer be the centerpiece, because OpenAI plans to retire them on December 11, 2026 and moves reusable workflows to plugins. Add clear instructions instead of prompt tricks, checking results, and the company's data rules, practiced on real tasks in the company's own workspace.

ChatGPT Business or Enterprise: what is the difference?

According to OpenAI, ChatGPT Business is a self-serve plan for 2 to 200 paid seats, and ChatGPT Enterprise is sold through sales. Both include apps, deep research, file analysis and workspace agents, both offer SAML SSO, and in both, business data is not used to train models by default. Only Enterprise adds SCIM, role-based access controls, an analytics dashboard, data residency (including the US, EU and UK), the Compliance API, Enterprise Key Management and dedicated onboarding. As of October 2026.

How do we get employees to actually use ChatGPT?

Give every department a concrete reason to open ChatGPT for its own work. What works: connect the apps for the most important systems before the training, practice on real tasks instead of examples, name one or two internal go-to people per team, and after four to six weeks review who uses ChatGPT and for what. Enterprise workspaces have an analytics dashboard for that review.

What happens to our custom GPTs?

OpenAI plans to retire custom GPTs on December 11, 2026 (February 11, 2027 for Enterprise workspaces with an approved deferral) and recommends migrating them to plugins. In the migration, a GPT's instructions become a skill, its knowledge files become reference files, and its connected apps carry over as apps. Custom actions, sharing settings and the selected model do not transfer. In Enterprise workspaces, creating new custom GPTs is planned to end on October 26, 2026. As of October 2026.

Are the free OpenAI Academy courses enough?

They are a good free baseline. OpenAI Academy offers self-paced courses such as AI Foundations (60 to 75 minutes) and Agents and Workflows, open to anyone with a ChatGPT account; badges are not certifications. They teach general skills, not your workspace, your apps or your data rules. Companies that want departments to change how they work usually combine them with live training on their own tasks.
