Microsoft 365 Copilot is rolled out, the icon sits in Outlook, Teams, and Word, and not much has changed. A few people use it to recap meetings; everyone else clicked it once and moved on.
Meanwhile IT is asking whether Copilot surfaces files nobody should see. Both problems have the same cause: Copilot was deployed, but never adopted.
Microsoft Copilot training for employees
Microsoft Copilot training from Specialty Tokens starts before the first session. Copilot Chat or Microsoft 365 Copilot
The first question before any training: what do your people actually have? This is how Microsoft describes the two options (as of October 2026; Microsoft now calls them Microsoft Copilot Chat and Microsoft Copilot):

So people with Copilot Chat learn to feed it the right content on purpose; people with the license learn to ask across their mailbox, meetings, and files. We train both and show on real tasks which roles need the full license. Pricing is for you and your Microsoft reseller.
What to check in SharePoint before rollout
Copilot only sees what a user can open, but Microsoft states that SharePoint sharing defaults to the most permissive option. Before the training we check with your IT team:
- Sharing settings for SharePoint and OneDrive, including the default link type and link expiration.
- Broad sharing: sites shared with Everyone except external users, or with many Anyone links, found through the data access governance reports.
- Inactive and ownerless sites: clean up or archive them, so Copilot works from current content.
- Sensitive sites: hide them from Copilot with Restricted Content Discovery, or limit them to one group with Restricted Access Control.
- Meetings: turn on transcription in Teams where it fits your policy, because Copilot can only answer about a meeting afterwards if it was transcribed or recorded.

- Outlook and Teams: summarize threads, draft replies, catch up on missed meetings.
- Word and PowerPoint: draft from existing documents, tighten text, turn a report into a deck.
- Excel: analyze data, explain formulas, spot outliers, and check the results.
- Agents: Researcher for multi-step research, Analyst for data analysis, and simple agents for the department.
- Rules: what Copilot can see, what must be checked, and which data goes where.

Copilot, ChatGPT, Claude, or Gemini
